Organizing your HPT file by department using the GL Type Manager
The GL Type Manager allows
you to organize the CDM file by clinical or other departments, in order
to manage the review more effectively. It also allows you to identify
any potential missed charges for each area, using the Best
Practice Tool.
When the software initially
opens a CDM file, it is able to assign a GL Type by analyzing the Revenue
Code values assigned to the individual charges within each department
area. However, if there is such a great variation of Revenue codes within
a department that the basic thresholds are not met, the GL manager is
unable to determine the correct department type. This confusion in determining
a department is flagged within the GL Manager by the appearance of a red
"x" next to that department's GL number. In this case you must
manually assign the correct GL type using the GL Type Manager Tool.
Since some Revenue codes are
very general in definition, such as 510 - General Clinic, you can also
use the GL Type Manager tool to map general departments to more specific
departments, for example, from General Clinic to Pain Clinic.
Use the GL Type Manager to
assign a GL Type or department
type identifier to each GL code number in the CDM file.
Because you will not get the
maximum effectiveness out of the Best
Practice Tool until an accurate GL Type is assigned to each department
area, we recommend that one of the first tasks you perform is to correctly
identify each department type within the CDM file.
To assign a department manually
- Open the GL Type Manager
by clicking the GL Type Manager Icon
or by selecting Tools.GL Type Manager > []
Any GL codes that could not be automatically identified by the software
are marked with a red "x" next to the GL number in the left
hand window of the dialogue box.
A highlighted bar on the right hand side of the window indicates the
GL type that is currently selected for the GL code. No highlight indicates
that there is no mapping.
The % column shows the percentage of charge items (of a particular GL
type) that are represented by the GL code.
Threshold specifies
the value above which the software will automatically map a GL type. The
GL type that is automatically mapped is the one that has the highest percentage
value. The default threshold value is 25%. All default mappings for all
GL Codes are re-calculated every time you change this value.
- Click the GL code or department
you would like to modify.
On the right side you will see all of the GL Types that have been identified
by the software for that department, with the blue bar identifying the
one that meets the threshold criteria.
- If you wish to select one
of the other listed GL types, select it then click on the OK button.
If a suitable GL type is not in the list, then you may add
a new department by clicking Add Type.
Another window will open that then lists all of the department areas that
exist in the software. Most departments are grouped by type such as Lab_Hematology,
Lab_Blood Bank, or Clinic_Pain, Clinic_OB. Select a GL type from the list
and click on the OK button.
The new department type is added to the list in the GL Type Manager, where
you can select it. If your facility groups all subspecialty areas together
under one GL number, then there you can select general departments in
each area, such as Lab_General. There are also paired groupings such as
Respiratory_Pulmonary for areas typically seen grouped in hospital settings.
- Choose Apply
All to apply all the mappings (or lack of mappings).
