Custom Verbiage

The custom verbiage module allows you to compare all of your facility’s charge item narrative descriptions against a file containing CPT code description pairs. This file is referred to as a custom verbiage dictionary.

If a charge item’s current hospital narrative description does not match the corresponding entry in the custom verbiage dictionary, then the charge item in question is displayed within the Custom Verbiage module window. If appropriate, you can then choose to replace the current hospital charge description with the description from the file.

The contents and accuracy of the custom dictionary file are the responsibility of the user. Chargemaster Toolkit uses the custom verbiage file contents as supplied.

To open the custom verbiage module
1. Select Modules > Custom Verbiage. The Custom Verbiage window opens.
2. Within the Custom Verbiage window, select File > Open Custom Verbiage Dictionary, and select a custom verbiage dictionary file. The Chargemaster Toolkit reads the file then compares each charge item against the file’s contents. Any charge items whose descriptions do not match the dictionary are then displayed in the Custom Verbiage window. [Picture]
1. Select a charge item then right-click on it. You can now either:
2. Replace the current description with one suggested from the custom verbiage dictionary — to do so, choose Use Custom Verbiage then select a replacement description from the popup menu.
The charge item’s narrative description is replaced with your chosen description. A memo is attached to the charge item, to indicate that this narrative modification comes from the custom verbiage dictionary.
- Leave the charge item’s description unchanged - to do so, choose Ignore Charge Item from the popup menu. The charge item is removed from the window for the remainder of this Chargemaster Toolkit session.
Format of the custom verbiage dictionary

The custom dictionary file is simply a text (.txt) file containing comma-separated CPT codes and descriptions. The first line of the file must contain the text “CDT”. Include descriptions within inverted commas (“); this allows you to include commas within your description.

If modifiers are used, then these should be specified at the end of line separated by a comma (as shown in the third entry in the example below).

Results are displayed regardless of any modifiers shown in the dictionary.

You can include multiple descriptions for a single CPT code (as shown in the last two entries in the example below). The Chargemaster Toolkit compares a charge item’s current description against all of the corresponding descriptions in the file. If the charge item fails this test, then all the descriptions in the file are offered as suggested replacements in the popup menu.
