Working with Memos

The Memo tool lets you manage and track issues associated with a particular charge item. It functions much like a journal in which to record questions and responses to questions, concerns and follow up activities. Other users can add responses to your memos (and you can respond to their memos). You can export memos to form the basis of a written report or notes for an interview. All memos become part of the permanent audit trail for the charge.

When a memo has been entered for a line charge, a yellow memo icon appears to the left of that charge within the main CDM file. All initial memo entries also have a question mark inside the icon . Once a user posts a response to the initial question or issue in the memo, the question mark disappears from inside the icon . This function allows you to track all those issues where initial entries are still outstanding.

After a new audit, all the memos from the previous audit will appear white i.e. only yellow memos relate to the current audit.

To add a memo to one or more charge items
1. Select a charge item or a number of items
2. Right-click and select Add Memo from the Popup menu (or press Ctrl + M). The Add Memo to record window displays.
3. Type in your text then click OK.
To view an existing memo
1. Double click on the memo icon.
To add a response to a memo
1. Double click on the memo icon.
2. The Active Code Book opens, showing the Memos tab. This lists all the memos that exist for this charge item.
3. Choose the appropriate memo from the list and click Add Response.
4. Type in your response then click on the OK button.
Memos can be sent to CWOnline users. Use the Send To link to specify which uses you want to send this memo to.
