Error Handling
An implementation error occurs when a charge item has not been amended
in the incoming CDM file in the exact same manner as it was amended in
Chargemaster
Toolkit. The presence of an implementation error indicates that
the (latest/incoming) CDM file has not been updated with the changes you
made in your Chargemaster
Toolkit (current) file.
An error occurs if any field in the incoming CDM file does not exactly
match the corresponding field in the Chargemaster
Toolkit. (The case of text is important. For example, ‘Organic’
does not match ‘ORGANIC.’)
Implementation errors only occur when the incoming CDM file
does match ‘changes’ you (or a member of your staff) made in Chargemaster
Toolkit and should not be confused with other ‘external changes.’
For example, you may change thousands of prices in your CDM file then
copy that file and merge the copy into Chargemaster
Toolkit without any errors. Only changes you made in Chargemaster
Toolkit are considered when the software is ‘comparing’ the fields
for possible implementation errors.
At the end of the merge process, a Merge Report will display with details
of the charges processed. If any implementation errors have been identified,
they are noted in this report. The Merge Report is therefore a quality
control system which advises you on any incorrect changes made to your
‘live’ file (of which the incoming CDM is a copy).
Resolve Implementation Errors
Implementation errors should be resolved prior to users working on the
newly-merged file. If the modifications suggested during the previous
audit have not been correctly implemented then your live CDM may not be
correct.
If a charge item has an unresolved implementation error,
you cannot make any modifications until you have resolved the outstanding
error.
The Resolve Implementation Errors Tool separates implementation errors
into five categories:
Modification
Implementation Errors
These occur if the suggested modification has not been made at all or
not been made in the same manner in the new CDM file. The changes are
compared for an exact match. If the match fails, then an implementation
error will occur. You can choose to accept the current modifications or
discard them and use the charge item from the new CDM file.
The erroneous data is highlighted in red. You can see the data in the
incoming CDM file by rolling your mouse over the highlighted data.
- From the main menu select
Tools > Resolve Implementation Errors.
The Resolve Implementation Errors screen displays.
- Click on the Modifications
tab.
- Right click on a charge item
then from the pop-up menu choose Accept
or Reject.
Accept — (Accepting means you have decided Chargemaster
Toolkit is correct.) Choosing to Accept means you want the current
state of Chargemaster
Toolkit to take precedence over the incoming CDM data. (This removes
the charge item from the next implementation report.)
Reject — (Rejecting means you have decided
the CDM file is correct.) The item has changed in Chargemaster
Toolkit but it has not been changed in the incoming CDM file and
you want to give precedence to the incoming CDM file (over Chargemaster
Toolkit’s current state). This charge item will appear on the next
implementation report as a change to be made to your CDM (Chargemaster
Toolkit and the CDM do not match).
Deactivated
Implementation Errors
These occur if a charge item was deactivated in Chargemaster
Toolkit
but not deactivated in the new CDM file. You can choose to leave the charge
item deactivated or to reactivate it.
- From the main menu select
Tools > Resolve Implementation Errors.
The Resolve Implementation Errors screen displays.
- Click on the Deactivated
tab.
- Right-click on an item then
from the pop-up menu select Leave deactivated
or Reactivate.
Leave deactivated — (Leaving deactivated
means you have decided Chargemaster
Toolkit is correct.) Gives the current state of Chargemaster
Toolkit precedence over the incoming CDM file. (The item was deactivated
in Chargemaster
Toolkit and selecting Leave Deactivated means you want to keep
it that way.) This charge item will appear on the next implementation
report as a change to be made to your CDM.
Reactivate — (Reactivating means you have
decided the CDM file is correct.) Gives the current state of the CDM precedence
over Chargemaster
Toolkit and reactivates the charge item in the Chargemaster
Toolkit. This removes the charge item from the next implementation
report.
Additional
Implementation Errors
These occur if a charge has been added to Chargemaster
Toolkit
by using link, duplicate, or the Best Practice module but the charge item
has not been added to the new CDM file as recommended. You can choose
to leave the charge item active or to deactivate it.
- From the main menu select
Tools > Resolve Implementation Errors.
The Resolve Implementation Errors screen displays.
- Click on the Additional
tab.
- Right-click on an item then
from the pop-up menu select Leave deactivated or Reactivate.
Leave active — (Leaving active means you
have decided Chargemaster
Toolkit is correct.) Retains the state of the charge item from
the last audit. This charge item will appear on the next implementation
report as a change to be made to your CDM.
Deactivate — (Deactivating means you have
decided the CDM file is correct.) Ignores the previous audit and reprocesses
the charge item with the data from the incoming CDM. This removes the
charge item from the next implementation report.
Pending
Implementation Errors
These occur if a charge item in Chargemaster
Toolkit has changes ‘pending’ but the incoming CDM file contains
the (not yet authorized) changes. (A member of your staff has made a change
to a charge item in Chargemaster
Toolkit but you have not yet decided whether the change is ‘correct’
and thus the change is flagged as ‘pending’ in Chargemaster
Toolkit.) If the change to the charge item has already been made
in the incoming CDM then Chargemaster
Toolkit will ‘describe’ the discrepancy as a ‘Pending Implementation
Error.’ In the ‘Resolve Implementation Errors’ screen you can choose whether
the status of the change should remain ‘pending’ or not (in Chargemaster
Toolkit).
- From the main menu select
Tools > Resolve Implementation Errors.
The Resolve Implementation Errors screen displays.
- Click on the Pending
Changes tab.
- Right-click on an item then
from the pop-up menu select Accept Modifications
or Reject Modifications.
Accept Modifications — (Accepting Modifications
means you have decided the Chargemaster
Toolkit is correct.) This charge item will remain (in Chargemaster
Toolkit) in a ‘pending’ state and appear on the next implementation
report as a change you should make to your CDM. (i.e. Chargemaster
Toolkit will advise you to show the charge item as ‘pending’ in
the CDM.)
Reject Modifications — (Rejecting Modifications
means you have decided the CDM file is correct.) This removes the ‘pending’
status in Chargemaster
Toolkit and the charge item will not be mentioned in the next implementation
report.
Missing
from Incoming File
These occur if a charge item in Chargemaster
Toolkit
cannot be found in the incoming file. This can happen if you have removed
the charge item completely from your CDM file. You can choose to deactivate
the charge item or add it to your working file.
- From the main menu select
Tools > Resolve Implementation Errors.
The Resolve Implementation Errors screen displays.
- Click on the Missing
from Incoming CDM tab.
- Right-click on an item then
from the pop-up menu select Leave deactivated
or Reactivate.
Leave active — (Leaving active means you
have decided the Chargemaster
Toolkit is correct.) This charge item will appear on the next implementation
report as a change to be made to your CDM.
Deactivate — (Deactivating means you have
decided the CDM file is correct.) Ignores the previous audit and deactivates
the charge item. This removes the charge item from the next implementation
report.
